The specific pay rate/salary offered to a candidate may be influenced by a number of factors including experience, education, specialized certifications from OEMs, and where the job is located.  The company reserves the right to adjust offers within the range at its discretion.

The Facilities Development Specialist leads the coordination of capital improvement initiatives, facility development projects, acquisitions, and operational facility programs across the organization. This position independently manages multiple projects, develops implementation plans, evaluates vendor performance, monitors capital investments, and partners with operational leaders to ensure facilities meet organizational standards and strategic objectives.

Job Requirements

Acquisition & Facility Development

  • Conduct acquisition walkthroughs and facility assessments to evaluate building conditions, equipment, and operational readiness.
  • Document facility conditions, equipment inventories, deficiencies, and capital improvement opportunities.
  • Develop capital expenditure (CapEx) budgets and facility investment recommendations.
  • Develop recommendations and reports supporting documentation for acquisition reviews and leadership approval.
  • Monitor and analyze facility compliance with VIVE operational standards.
  • Development and monitoring of 30-, 60-, and 90-day post-acquisition facility improvement plans.

Capital Project Coordination

  • Manage multiple facility remodels, branding initiatives, and capital improvement projects simultaneously, establishing project priorities, timelines, budgets, and execution strategies.
  • Direct contractors, vendors, and subcontractors to support project execution.
  • Monitor project timelines, milestones, and completion schedules.
  • Oversee permitting, inspections, and occupancy requirements with local jurisdictions.

Monitor capital expenditures, identify budget variances, and recommend corrective actions to maintain fiscal accountability.

Equipment Installation & Facility Upgrades

  • Oversee the installation of shop equipment including paint booths, air compressors, frame machines, lifts, welders, measuring systems, and ADAS calibration equipment.
  • Evaluate vendor proposals, negotiate project scope and pricing, and recommend vendor selection based on cost, quality, and operational requirements.
  • Manage equipment deliveries, installations, commissioning, and operational readiness.
  • Direct vendor training and ensure equipment is fully functional upon project completion.

CapEx Budget & Vendor Management

  • Manage approved and planned capital expenditures across all VIVE locations.
  • Monitor and analyze project budgets, spending forecasts, and financial performance.
  • Participate in monthly CapEx reporting and budget reviews.
  • Identify opportunities for cost savings through competitive bidding and vendor negotiations.
  • Develop and maintain productive relationships with contractors, suppliers, and service providers.

Facility Maintenance & Compliance

  • Manage preventative maintenance schedules for facility assets across all locations.
  • Manage maintenance vendors and service contracts to ensure timely completion of work.
  • Track inspections, repairs, warranties, preventative maintenance, and service agreements.
  • Monitor maintenance completion and facility compliance with company standards.
  • Monitor and support initiatives that reduce equipment downtime and improve facility reliability.

Skills & Qualifications

Qualifications

  • Associate’s or Bachelor’s degree in Construction Management, Facilities Management, Business, Engineering, or a related field preferred; equivalent experience considered.
  • Experience coordinating facilities, construction, maintenance, CapEx, or commercial building projects.
  • Demonstrated experience independently managing multiple construction, facilities, or capital improvement projects with responsibility for project planning, budget management, vendor oversight, and execution.
  • Experience working with contractors, vendors, and service providers.
  • Financial aptitude with experience tracking project budgets and expenditures.
  • Proficiency with Microsoft Office, particularly Excel; experience with project management software is a plus.
  • Excellent communication, problem-solving, and relationship management skills.
  • Ability to travel approximately 75% to support acquisitions, facility projects, and operational initiatives.
  • Valid driver’s license and ability to travel independently.

Decision-Making & Autonomy

    • Prioritizes multiple concurrent facility and capital projects with minimal supervision.
    • Evaluates operational needs and develops project recommendations for leadership approval.
    • Exercises independent judgment when resolving vendor issues, project delays, scheduling conflicts, and facility-related operational challenges.
    • Recommends process improvements to enhance facility operations, project execution, and capital investment effectiveness.
    • Serves as the primary point of coordination between operations, contractors, vendors, and internal stakeholders throughout the project lifecycle.

 

Physical Requirements

  • Frequent travel by automobile and commercial airline (approximately 75%).
  • Ability to walk construction sites and active collision repair facilities.
  • Ability to climb stairs, ladders, and safely navigate uneven surfaces during facility inspections.
  • Occasionally lift and carry materials or equipment up to 25 pounds.
  • Prolonged periods of sitting, driving, and working on a computer.
  • Regular verbal and written communication with vendors, contractors, and internal stakeholders.
